How ARK prepares, revises, accepts and manages quotations, estimates, drawings, scope and project variations.

1. Purpose and application

This policy explains how ARK Project Limited prepares and manages estimates, quotations, revisions, scope information, drawings and variations for ARK Kitchen and applicable ARK Renovation projects.

It applies together with the issued quotation, accepted drawings, material selections, payment schedule, applicable policies, written variations and any separate contract issued for the project.

2. Starting estimates and online tools

Prices shown through The Kitchen Edit, website calculators, examples, guides, advertisements or early project discussions are starting estimates only unless expressly identified as a formal quotation.

A starting estimate may be based on approximate dimensions, selected layout, finish direction, assumed hardware level, indicative benchtop area, standard allowances and customer-supplied information. It is not a contract or final project price.

3. Preliminary estimates

ARK may provide a preliminary estimate before final measurements, drawings, material selections or site conditions are confirmed. It may change after site measurement, design development, appliance confirmation, material selection, supplier pricing, site inspection or trade coordination.

A preliminary estimate becomes a formal quotation only when ARK issues a document clearly identified as a quotation.

4. Formal quotations

A formal quotation sets out the price for the stated scope, assumptions and conditions. Depending on the project, it may include customer and site details, quotation and revision numbers, project areas, cabinetry scope, materials, hardware, benchtops, delivery, installation, allowances, exclusions, payment stages, timing, drawing references, policies and special conditions.

Only items expressly included in the quotation are included in the quoted price.

5. Basis of quotation

A quotation is prepared using the information available when it is issued. This may include ARK measurements, customer-supplied measurements, plans, sketches, photographs, appliance specifications, approved drawings, material selections, known site conditions, supplier pricing and stated assumptions.

The customer must review the quotation and notify ARK promptly of missing, incorrect or unclear information.

6. Customer-supplied information

Where ARK relies on information supplied by the customer or another party, the quotation assumes that information is reasonably accurate and complete.

If later measurement or site inspection identifies a material difference, ARK may revise the quotation or issue a written variation.

7. Drawings and visual material

Drawings, layouts, plans, elevations, 3D images and visual references help explain the proposed project but must be read together with the quotation and material selections.

Unless expressly stated otherwise, 3D images are illustrative, displayed colours may differ from physical materials, appliance images may be representative and final grain, pattern and natural variation may differ from the image.

The latest approved drawing revision replaces earlier drawing revisions for the relevant scope.

8. Materials and allowances

Where a specific product or material has not been selected, the quotation may include an allowance. An allowance is not a guarantee that every available product can be supplied within that amount.

If the selected item costs more or less than the allowance, the quotation or final price may be adjusted accordingly.

9. Third-party and specialist work

A quotation may include work or pricing from third-party suppliers, fabricators or trades. The quotation should identify whether ARK is supplying or coordinating the work, whether the customer contracts directly with the third party, and whether the amount is fixed or an allowance.

10. GST

Unless expressly stated otherwise, quotations issued to residential customers are shown in New Zealand dollars and include GST.

11. Quotation validity

Each quotation will state its validity period where applicable. If no period is stated, the quotation remains open for acceptance for 30 days from the issue date unless ARK withdraws it earlier for a valid reason.

After expiry, ARK may confirm the quotation remains valid or issue a revised quotation reflecting current pricing, material availability or timing.

12. Quotation revisions

When scope, materials, pricing or project conditions change before acceptance, ARK may issue a revised quotation. Each revised quotation should have a revision number or issue date.

Unless otherwise stated, the latest issued revision replaces earlier revisions for acceptance purposes.

13. Acceptance

A quotation is accepted only when the customer completes the acceptance process required by ARK. This may include written or electronic acceptance, approval of the relevant quotation revision, approval of drawings or material selections, signing a contract, payment of the stated deposit or initial payment, and completion of stated preconditions.

Where ARK issues a separate contract, the quotation and contract must be read together.

14. Deposit and project activation

Payment of a deposit does not expand the quoted scope.

After the required acceptance and deposit are confirmed, ARK may activate the formal project record, assign an ARKCode and begin the applicable planning, procurement or production process.

Production, material ordering or installation dates are not confirmed until ARK provides written confirmation.

15. Changes before production

The customer may request changes before production begins. ARK may update drawings, issue a quotation revision or written variation, adjust the payment schedule and revise expected timing.

No requested change forms part of the project until ARK confirms it in writing.

16. Changes after production begins

Changes requested after materials are ordered or production begins may result in additional design work, material wastage, remake costs, supplier cancellation fees, additional labour and revised delivery or installation dates.

17. Variations during the project

A variation may be required where the customer changes the approved scope, actual site conditions differ materially from the quotation assumptions, supplied information is incorrect, concealed services or damage are discovered, another contractor changes the work area, selected materials or appliances change, or additional work is requested.

The written variation should identify the changed work, reason, price adjustment, payment requirement and likely effect on timing.

Ordinary correction of ARK's own defective work is not treated as a customer-paid variation.

18. Errors and omissions

ARK will take reasonable care when preparing quotations. If ARK identifies an obvious calculation, transcription or administrative error before acceptance, ARK may withdraw and replace the affected quotation.

Nothing in this section permits ARK to make a misleading price representation or unilaterally increase an accepted fixed price without a valid contractual or legal basis.

19. Exclusions and assumptions

The quotation may list project-specific exclusions and assumptions. An excluded item is not included merely because it is required to complete the wider renovation.

20. Timing information

Any production, delivery or installation timing shown in a quotation is an estimate unless expressly guaranteed in writing. Timing may depend on approval, payment, measurement, material availability, production capacity, site readiness, specialist fabrication and variations.

A quotation does not by itself reserve a production or installation date.

21. Cancellation

Before acceptance, either party may generally stop quotation discussions without proceeding, subject to any separately agreed design, measurement or consultation fee.

Cancellation after acceptance is governed by the accepted quotation, contract and Payment & Cancellation Policy.

22. Relationship with the contract

The quotation records the accepted price and project scope. It does not replace any separate written contract required by law or issued by ARK.

Where documents conflict, priority will generally be determined by the contract and project-specific written terms.

23. Project records

The accepted quotation, revision number, approved scope, drawings, material selections, pricing and applicable policy versions may be saved as part of the formal project record and later released through myARK Documents.

Earlier drafts, internal pricing information, owner-only financial information and unreleased records are not client project documents.

24. Consumer rights

ARK must provide clear and accurate pricing information and must not engage in misleading or deceptive conduct. Nothing in this policy excludes or limits rights under applicable New Zealand law.
